Our mission is to promote and protect abroad the values, interests and economic well-being of Ireland and its people.  We do this under the political direction of our Ministers, through our staff at home and through our Embassy network abroad.

 

Roles and Responsibilities:

The Administrative Officer will primarily be responsible for general office administrative and secretarial support, website and social media management, and community and cultural outreach activities. The officer will be tasked with calendar and event management, media monitoring and research for the diplomatic officers. There will also be work from time to time in the provision of consular assistance including shared out of hours duty.

Candidate Profile:

The position is for immediate start and will be for a period of one year initially, though there may be the possibility of an extension.

The successful candidate will be highly motivated, enthusiastic individual with a proven capacity to multi-task in a busy and demanding environment.  The successful candidate will work as part of a very busy and flexible Consulate General team and will have significant opportunities to develop their skills and gain hands on experience in these areas. 

Essential Requirements:

To be eligible the following qualification and competences are required:

  • Fluency in English and German;
  • Excellent attention to detail, a positive attitude and an adaptable approach towards work;
  • Possess people skills and customer service skills;
  • Exercise good judgment, decision making, and regard for safety within all aspects of the role;
  • Demonstrate ability to communicate effectively and efficiently;
  • Be a good team player, able to prioritise tasks, independently assess situations appropriately and any issues as they arise;
  • Be self-motivated and able to work unsupervised where necessary;
  • Ability to meet tight deadlines and work on multiple tasks at one time.

 

  • As sensitive information may be handled during work with the Consulate, discretion is essential.
  • The successful candidate must have a legal entitlement to live and work in Country prior to recruitment. An appropriate German work visa will be required if not a German/European Union citizen or Permanent Resident.

In addition to the essential requirements above, the following criteria is an advantage:

  • An interest in, or aptitude for Irish-German relations would be an advantage.
  • Previous experience of working in an international environment, particularly in the provision of administrative services, would also be advantageous.

The email should contain the subject line ADMIN and must be no larger than 15MB.  Certificates, degrees and references in German or English do not need to be translated.  The application must contain:

- Letter of motivation (1 page max) addressing your suitability for the position and interest in working with the Consulate General of Ireland;

- CV/résumé (2 pages max);

- Two nominated referees with contact details;

- Copies of professional references and relevant academic, professional and language qualifications scanned into one PDF attachment.

Selection Process:

All emails received will be acknowledged.  Shortlisting of candidates is part of the process.  Please note that only short listed candidates will be contacted.

Depending on response rates the deadline may be extended.

Interviews are provisionally expected to be held in mid-September.

 

Terms and conditions of employment:

Starting date:               Late September or early October 2019 (date tbc)

Contract duration:      One year fixed term contract.  Contract extension may be possible.

Working hours:           Full time (35 hours) with occasional additional attendance outside of    hours. Out of hours duty service during the year compensated in the form of leave in lieu.

Salary:                           €31,911 gross per year (salary scale applies)

Annual Leave:              24 days annual leave in a calendar year

Probationary period:   6 months

Security Clearance for Local Staff

Police vetting will be sought in respect of individuals who come under consideration for appointment. Enquiries may also be made with the police force of any country in which the applicant under consideration for appointment resided. If unsuccessful this information will be destroyed.  If the applicant subsequently comes under consideration for another position they will be required to supply this information again.
