The mission of the Department of Foreign Affairs is to promote Ireland’s values and interests internationally and ensure that citizen services are delivered effectively overseas and our diaspora links fostered. Our staff at home and at our Embassy network abroad are key to delivering our objectives.
The Consular/Administration Officer, will assist the consular team in effectively processing visa applications, as well as assisting with other administrative areas to ensure the smooth operation of the Embassy. The officer will need to support other activities undertaken by the small Embassy team, including consular services, the organisation of events, virtual and in person and in providing logistical support to visiting high-level delegations. The officer will report to a member of the diplomatic staff at the Embassy.
The Mission now wishes to recruit the Consular/Administration Officer on an initial two-year contract (24 months). In addition to the responsibilities outlined above, the Consular/Administration Officer will be expected to provide guidance and support to other Embassy colleagues.
Roles and Responsibilities:
The position will include the provision of consular, visa and administrative support to the Ambassador and Deputy Head of Mission.
The work will include:
- Customer service duties to include providing service to visitors to the office, as well as responding to queries received via phone and email
- Liaising with visa applicants, processing applications and working with the supervising officer to grant/refuse applications
- Management of the visa services offered by the Embassy
- Providing administrative support to ensure the smooth running of the Embassy including managing office equipment, IT systems, the Embassy website, record keeping and liaising with Headquarters in Dublin on various requests
- Scheduling of meetings and travel arrangements for officers of the Embassy
- Any other duties that may be assigned from time to time

Candidate Profile:
The successful candidate will be a highly motivated, enthusiastic individual with a proven capacity to multi-task in a busy and demanding environment. They will be of the highest integrity and have a good knowledge of office administration and be able to get up to speed quickly with the visa and consular services provided by the Embassy. The person will work effectively as part of a busy and flexible small Embassy team. The position will also involve undertaking occasional out of hours’ duty.
Training on visa and other consular services will be provided to the successful candidate.
Essential Requirements:
To be eligible, the following qualifications and competences are required:
- Completion of secondary school (Gymnasiet) and work experience in a relevant area
- Excellent written and oral communication skills in Swedish and English. The candidate should be a native speaker of Swedish or English and have a minimum C1 in the other language. Applicants may be telephoned in advance to establish language proficiency and a short written language test may be required.
- Well-developed interpersonal skills.
- A high level of organisational and administrative skills, including proficiency in Microsoft Outlook, Word and Excel.
- Willingness to develop new skills as required including in IT and website administration.
- A flexible attitude, good judgement and the ability to work effectively as part of a team.
- The ability to work well under pressure while ensuring accuracy and attention to detail.
- A high level of discretion, commitment and reliability.
- The successful candidate must have a legal entitlement to live and work in Sweden prior to recruitment
Terms and Conditions of Employment:
- The position is scheduled to commence no later than September 2021 and will be for a two year (24 months) fixed term contract. There may be a possibility (not guaranteed) of an extension.
- The successful candidates will be hired on a fixed-term contractual basis and will be based at Embassy of Ireland Stockholm, Hovslagargatan 5, 111 48 Stockholm.
- The position is full-time (40 hours) with occasional attendance outside of hours.
- Out of hours duty service occasionally during the year compensated by additional leave.
- The starting salary for the position is SEK 370,495.00 per annum, paid locally on a monthly basis. Salaries are paid directly to a bank account, therefore the successful candidate must have a bank account. Salaries are payed in net but the Officer has a responsibility to assist with the administration of personal tax affairs.
- The positions will have an annual leave allowance of 25 days per annum, exclusive of public holidays, adjusted pro rata.
- A 6-month probationary period will apply.

Security Clearance for Local Staff
Police vetting will be sought in respect of individuals who are considered for appointment. Enquiries may also be made with the police force of any country in which the applicant under consideration for appointment resided. If unsuccessful, this information will be destroyed. If the applicant subsequently comes under consideration for another position they will be required to supply this information again.
