Temporary Executive/Personal Assistant Post at the Permanent Delegation of Ireland to the OECD and UNESCO

The Permanent Delegation of Ireland to the OECD and UNESCO is recruiting a Temporary Executive Assistant to help the Mission fulfil its objectives while the current Executive Assistant has been temporarily assigned to other duties. The post will be for a six-month duration reporting directly to the Ambassador of Ireland to the OECD and UNESCO.

Shortlisted candidates will be interviewed early in the week beginning October 23rd and the successful candidate would be required to commence in the week beginning October 30th 2017.

Requirements for the post

  1. Proficient French; written and oral French proficiency will be tested;
  2. A good working knowledge of the OECD and UNESCO;
  3. Demonstrable capacity to fulfil the role of Executive Assistant (see role description following); and
  4. Experience relevant to the role.

Duties of the post of Temporary Executive Assistant

Personal Assistant to the Ambassador

Manage the Ambassador's diary and appointments

Coordination and preparation of briefing notes

Manage and prioritise as appropriate incoming correspondence and follow up where necessary

Plan and organise meetings, events, receptions and other promotional activities

Manage day to day running (rent, utilities, insurance) for Ambassador's residence

Office manager

Registration of Irish delegates from capital for OECD/UNESCO meetings

Liaison with OECD and UNESCO Secretariats and Member State delegations as required

Retrieve, download and forward relevant documents as required

Set up and manage phone and IT accounts

Manage and update content for delegation website and twitter account

Organise logistics for Ministerial and high-level visits

Policy Assistant

Assist ambassador as required at OECD and UNESCO and follow up to action points at meetings

Note-taking at OECD and UNESCO meetings

Report-writing, drafting and dissemination of relevant Government documents

Ensure professional relationships with OECD and UNESCO staff are maintained as well as with counterparts in Delegations

Remuneration: The basic gross salary will be €2361.34 per month.
