Vacancy: Office Manager

 

 

Consulate General of Ireland São Paulo  

Our mission is to promote and protect abroad the values, interests and economic well-being of Ireland and its people. We do this under the political direction of our Ministers, through our staff at home and through our Embassy network abroad.

 

The Consulate General of Ireland in São Paulo is seeking a dynamic and experienced individual to join our team as Office Manager. Reporting directly to diplomatic staff, the Office Manager will oversee all operational aspects of the Mission, including administration, finance, HR, ICT and property. The Consulate General of Ireland in Sao Paulo relies heavily on the initiative, team-spirit and skills of locally-recruited staff to deliver a diverse range of functions ranging from efficient delivery of passport and consular services to events management. Each member of staff, while leading on particular areas, must be familiar with the various aspects of the Consulate’s work so that they may participate fully in the achievement of the Mission’s objectives.

The successful applicant will be employed on a full-time locally-engaged contract, subject to satisfactory completion of a probationary period and will receive on-the-job training. The successful applicant will be responsible for any relocation costs that arise and must have the right to live and work in the Brazil.

 

Role:

A wide variety of administrative, account and office management duties as well as Consular duties including:

  • Preparing monthly accounts and payments, co-ordinate salary and social security payments with payroll company;
  • Managing budget and ensuring compliance with financial reporting requirements and financial controls;
  • Responsible for chancery upkeep, including all maintenance and service contracts;
  • Providing high quality administrative support as necessary, such as preparing correspondence, filing, handling phone calls, enquiries and requests;
  • Ensuring consistent delivery of high quality services at the Consulate and maintaining real-time information flows
  • Organising official visits and representational events;
  • Assisting with cultural activities and supporting Consulate’s outreach through social media, website and physical material;
  • Handling Consular cases, liaising with Brazilian authorities and other diplomatic missions;
  • Other related duties as required. 

  

Essential requirements candidates must be able to demonstrate:

  • Candidates must have a degree or relevant professional experience in disciplines such as accountancy or business administration
  • Fluent English and Portuguese
  • A good understanding of the role of the Department of Foreign Affairs and Trade;
  • Excellent interpersonal and networking skills;
  • Detail oriented and good organisational skills
  • Flexibility and willing to work to meet deadlines, sometimes under pressure
  • Computer literacy and information management skills.
  • The successful candidate must have a legal entitlement to live and work in Brazil prior to recruitment.

 

Desirable requirements:

  • Experience of working in an international environment
  • Experience of working in communications or public relations will be considered an advantage

 

Terms and conditions of employment:

  • The successful candidate will be employed on a full-time locally-engaged contract, subject to satisfactory completion of a probationary period and will be based at the Consulate General of Ireland in Sao Paulo.
  • The starting salary for the position is R$7,000 per month, paid locally on a monthly basis. The position also provides contributions to the following benefits: health plan, meal ticket, life assurance and transport if required
  • The positions will have an annual leave allowance of 30 days per annum in accordance with local Brazilian labour law

Selection Process:

  • Depending on the number of applications received, a short-listing of candidates to be called for interview may be undertaken based on the Essential/Key Requirements above.
  • It is planned that interviews will be held before the end of February.

 

Security Clearance for Local Staff

Police security clearance will be sought in respect of individuals who come under consideration for appointment. Enquiries may also be made with the police force of any country in which the applicant under consideration for appointment resided. If unsuccessful this information will be destroyed. If the applicant subsequently comes under consideration for another position they will be required to supply this information again.
