Administrative Assistant – DEADLINE 17.00 on 21 January 2022

 

Roles and Responsibilities:

The position will involve providing full administrative support to the Finance and Agricultural units of the Embassy, with duties split evenly between the two sections.

 The precise range of duties will vary over time according to the needs of the Embassy, but will include the following:

  • Identification of key contacts
  • Scheduling of meetings and travel arrangements
  • Translation and informal interpretation
  • Event and visit management
  • Research and analysis on finance and agriculture themes
  • Occasional attendance at meetings, note-taking and reporting
  • General administrative support
  • Other duties as required from time to time.

The position is for immediate start and will be a one year fixed term contract. There may be a possibility of extension.

 

Candidate Profile

The successful candidate will be a highly motivated, enthusiastic individual with a proven capacity to multi-task in a busy and demanding environment. They will work as part of a very busy and flexible Embassy team. The position will also involve undertaking occasional out of hour’s duty (up to four times in a year).

Essential Requirements candidates must be able to demonstrate:

  • A third level qualification in a relevant area or a degree of work experience in a relevant area.
  • Excellent written and oral communication skills in German and English. The candidate should be a native speaker of German or English and have a minimum C1 in the other language. 
    In some cases, applicants may be telephoned in advance to establish language proficiency.  
  • The candidate must demonstrate using work based examples of providing excellent interpersonal skills, being persuasive, working in a team but also dealing effectively with people in external organisations;
  • The candidate must provide evidence of flexibility, efficiency and effectiveness showing strong organisational skills, attention to detail, able to work under pressure and to manage multiple tasks;
  • A high level of administrative skills, including proficiency in Microsoft Outlook, Word and Excel. 
  • A high level of discretion, commitment and reliability.
  • Strong problem solving and time management skills
  • The successful candidate must have a legal entitlement to live and work in Germany prior to recruitment.

Selection Process:

Depending on response rates, the deadline may be extended.  Competency based interviews are provisionally expected to be held within the first week of February

Working hours:

Full time with occasional additional attendance outside of hours. Out of hours duty service on up to four occasions during the year compensated by additional leave.  

Salary:                   

€30.900  gross per year

Annual Leave:

24 days annual leave per year

Probationary period:     

6 months

Security Clearance for Local Staff

Police vetting will be sought in respect of individuals who come under consideration for appointment. Enquiries may also be made with the police force of any country in which the applicant under consideration for appointment resided.  If unsuccessful, this information will be destroyed.  If the applicant subsequently comes under consideration for another position, they will be required to supply this information again.
