Events and Visits Officer Positions (2 Positions)

Embassy of Ireland, London

A new Events and Visits Unit is being established in the Irish Embassy, London. The new unit will be responsible for managing and overseeing all events held in the Embassy and externally, as well as organising the logistical aspects of incoming Ministerial and high level official visits.

The Embassy is now looking to recruit two Events and Visits Officers. The appointments will initially be on the basis of a one year (probationary) contract and upon successful completion of the probationary period appointees will be offered a contract of indefinite duration. The starting salary is £35,000 on a scale of six incremental points and one Long Service Increment.

Role

The appointee will be required to undertake the following duties:

·       Planning and organisation of Embassy events, both in-house and externally;
·       Planning and organisation of incoming visits by Ministers and senior officials; 
·       Liaising with relevant Embassy staff in respect of each event and visit - lead Section, Ambassador’s Office, chef, drivers and Administration Section; 
·       Performing reception/door duty at events;
·       Operating the audio-visual system, including making podcasts of events when required;
·       Maintaining and updating a database of all Embassy contacts for invitation purposes;
·       Maintaining a door duty roster for events; 
·       Other duties as may be required.

Essential requirements candidates must be able to demonstrate

In addition to satisfying the eligibility requirements set out in the Candidate Information Booklet, candidates must be able to demonstrate the following key skills and attributes:

·        Previous events management experience;
·        Excellent organisation and time management skills;
·        Excellent communication skills;
·        Experience of contacts management;
·        Excellent ICT skills, including previous experience of operating audio visual equipment;
·        Ability to meet tight deadlines and work on multiple tasks at the same time;
·        A good understanding of the role of the Department of Foreign Affairs and Trade;
·        Good interpersonal skills and the ability to work effectively as part of a team;
·        The successful candidate must have a legal entitlement to live and work in-country prior to recruitment.

Security Clearance for Local Staff

Police vetting will be sought in respect of individuals who come under consideration for appointment. Enquiries may also be made with the police force of any country in which the applicant under consideration for appointment resided. If unsuccessful, this information will be destroyed. If the applicant subsequently comes under consideration for another position they will be required to supply this information again.
