The Embassy of Ireland, Addis Ababa is seeking to recruit a highly motivated, hardworking, proactive and flexible individual with excellent communication and interpersonal skills to fill the position of Administration-Finance Officer.  

 

Roles and Responsibilities:

The precise range of duties will vary over time according to the needs of the Embassy, but will include the following:

  • Supporting the day to day administrative tasks including contract and resource management;
  • Supporting the general administration through maintaining personnel filing system, managing staff insurance coverage and claims and ensuring compliance with the Performance Management System;
  • Drafting various correspondences to authorities and other parties – letter to insurance, bank, federal police, recruitment letters, regret letters and various others as required;
  • Maintaining staff annual leave records and guiding staff on their leave queries;
  • Providing support in financial administration including document checking and verification of invoices and financial documentation for payment requests;
  • Control stock of office supplies and prepare orders for approval by Senior Administrator;
  • Maintaining Fixed Asset Registry and Inventory List of the Embassy, completing ad hoc inspections, as required;
  • Support the petty cash management through recording of receipts, monitoring cash balance and securing cash in safe boxes;
  • Contributing as part of the wider Embassy team to administration/finance and other work as required.

Essential Requirements candidates must be able to demonstrate:

 

  • The candidate must have degree in Management, Business Administration, Accounting or other relevant fields;
  • The candidate must have a minimum of three years’ relevant work experience with administration and financial responsibilities;
  • The candidate must have an excellent communication and a high standard in English and Amharic, both spoken and written;
  • The candidate must be proficient in Microsoft Office suite;
  • The candidate must have strong interpersonal skills and ability to deliver results both independently and as part of a multi-cultural team;
  • The candidate must have proven ability to work with minimal supervision, prioritise and work to deadlines, ability to demonstrate initiative, resourcefulness and perseverance;
  • The candidate must have strong attention to detail and accuracy, particularly in relation to financial transactions;
  • The candidate must have good problem solving, decision-making skills, analytical abilities and a very high standard of personal integrity.
  • All applicants must have a permanent legal right to reside and work in Ethiopia.

 

Desirable Skills and Experience:

 

  • Previous experience with an international organisation is desirable
  • Experience in a coordinating role;
  • Experience of records management.

Contract duration:

The successful candidates will be hired on a fixed term for three-year contract with a probation period of 60 working days.

Working hours:

Monday to Friday, with standard office hours from 8am-5pm, with total working hours not exceeding 48 hours per week as per local labour law.

Annual Leave Entitlement:

Annual leave entitlement is 20 working days per annum.

Gross Salary:

Entry point of scale for Grade THREE (€12,186.84 per annum) paid in local currency. Salaries are paid direct to a bank account; therefore, the successful candidate must have a bank account.

Eligibility:

Candidates must have a permanent, legal right to reside and work in Ethiopia and will be subject to employment and taxation law.

Selection Process:

  • Depending on the number of applications received, a short-listing of candidates to be called for a competency-based interview may be undertaken based on the Essential/Key Requirements above.
  • It is planned that interviews will be held around the end of July 2023.
  • A skills test will be included in the recruitment process;
  • A second interview may be included in the recruitment process;
  • A panel may be set up depending on the calibre of candidates;

Security Clearance for Local Staff

Police security clearance will be sought in respect of individuals who come under consideration for appointment. Enquiries may also be made with the police force of any country in which the applicant under consideration for appointment resided. If unsuccessful, this information will be destroyed. If the applicant subsequently comes under consideration for another position, they will be required to supply this information again.
